Policies

 

Royal Party Decorations and Rentals greatly appreciates the opportunity to provide services for your event(s). Please read the following terms and conditions which you, the client, agree to by placing your order. 


Deposits and Reservations

 

  • A minimum deposit of 25% is required upon reservation. If a deposit has been paid but the contract has not yet been signed, the reservation will still be considered as fully valid. The contract must be signed to finalize all details, but the deposit reserves the date/services.

  • All deposits made are non-refundable. 

  • If a reservation is made within one week of the event(s), payment in full is required up front.

 

Payments

 

  • The remaining balance is to be paid in full one week prior to the setup and/or delivery date. Should payment in full not be made, Royal Party Decorations and Rentals reserves the right to refuse all service(s). 

  • We accept all major credit cards (credit card fee of 3.5% applies to all transactions over $500.00). Cheque, cash, and e-transfers are also accepted but debit is not accepted at this time. 

  • All payments are subject to tax. Taxes are charged at the rate of 5% GST and 7% PST. Cash payments are not exempt from any taxes.

  • Any fees imposed by a venue on Royal Party Decorations and Rentals are to be paid in full by the client and are the client's sole responsibility. 

 

Price Quotes
 

  • Price quotes provided are valid for a maximum of 30 days unless otherwise stated. All price quotes may be subject to recalculation should the 30 day period elapse and the reservation is not finalized.

  • Rates given are valid for a rental period of 1-4 days (some exceptions may apply; some items have a daily rental period only – please check with us). Additional charges may apply for a longer rental period.

 

Customer Responsibilities
 

  • It is the sole responsibility of the client to inspect and report any damages and/or defects to Royal Party Decorations and Rentals prior to delivery. All setups must also be inspected to ensure all agreed items/setups are provided. 

  • The client would agrees to use all Royal Party Decorations and Rental’s equipment in a safe and responsible manner in which all applicable laws and regulations are complied with. It is also the client’s responsibility to obtain any necessary permits, if required, before the setup date.
     

Contracts

 

  • Upon receipt of the deposit, the contract will be presented to the client for signing. If the contract is sent electronically, the client has five business days, unless otherwise stated, to return a signed copy of the contract to us after which all stated terms and conditions will be automatically deemed as accepted.

  • Any changes made to the signed contract must be in agreement of the client and Royal Party Decorations and Rentals. It is at the discretion of Royal Party Decorations and Rentals which changes may be made.  


Changes and Cancellations

 

  • The satisfaction of our clients is one of our top priorities. When your reservation is confirmed, your items are considered rented out for your date(s), therefore, are not available for any other clients. Due to this, we are unable to make refunds for cancelled items after the reservation is complete.

  • When items are rented out, they are all considered to be in use by the client, therefore, no refunds will be given for unused items. 

  • Cancellation of your reservation/signed contract would stipulate a 50% cancellation fee of the total contract amount, minus the deposit paid. 

  • Should a contract be cancelled and Royal Party Decorations and Rentals agrees in writing (for extenuating circumstances only) the deposit can be reused, the deposit amount paid will remain non-refundable and the client will have one (1) year from the original setup date to use this deposit with us again, subject to our availability. To reuse the deposit with us, it will again be considered as a deposit of the same value towards another order of the same or higher contract value. Similarly, you may transfer the deposit to a new client, subject to our availability/approval, but the deposit amount will again be used as a deposit towards another order of the same or higher contract value. We ask that the client provides us with enough notice as possible in order to rebook as it will considered on a first-come-first-serve basis, subject to availability. Please note rates of service(s) may be subject to change in the future (i.e. when rebooking). 

 

Delivery and Pickup

 

We provide delivery services from North and West Vancouver all the way to Abbotsford. Please contact us to get a quote. We also offer the option for clients to pickup rental items from our office during normal business hours. After hours pickups/returns may be subject to additional charges.

Damages to Rental Items

 

The client agrees to pay for any incidents including, but not limited to, damaged, lost, altered, or stolen items. Except for reasonable rental usage, all items must be returned in their normal condition. For each item returned [not limited to] with tears, coloured stains, burns or wax marks that may be damaged beyond repair, the customer is responsible to compensate Royal Party Decorations and Rentals in a timely manner.

To avoid cleaning and/or replacement charges, the client also agrees to the following:

       a. Clean all serving dishes/cookware prior to returning.

       b. Use mechanical or drip-less candles near all cloth. Full replacement costs will be charged              for cloth returned with [but not limited to] candle wax stains, burns, mildew, rips & tears,                staple marks, tape, glue, gum, or other irremovable stains.

Severe Weather

 

In the event of severe weather, immediately vacate the tent(s). Severe weather can result in an increased chance of tent collapse. During lightning storms, please vacate the tent(s) immediately. Do not touch any part of the tent or attempt to secure it. Royal Party Decorations and Rentals is not responsible for injury in such an event.

 

Disclaimer

The client hereby freely, voluntarily and without duress releases Royal Party Decorations and Rentals from any liability or claim that the customer may have against Royal Party Decorations and Rentals with respect to, any loss, expenses, penalties, damages, costs or personal injuries, illness including death suffered by the customer, their guests or anyone else by reason of transportation, handling, operation or use of rental equipment. The client understands and acknowledges that this release discharges Royal Party Decorations and Rentals from any and all liability or claim that the customer may have against Royal Party Decorations and Rentals. The client agrees to use all equipment solely at their own risk. Royal Party Decorations and Rentals is not the manufacturer, representative, nor the agent for the manufacturer, therefore, no warranties are given, expressed or implied as to the design, quality, capacity, and safety of the products. The client does hereby release and forever discharge and hold harmless Royal Party Decorations and Rentals and its successors and assigns from any and all liability claims, and demands of whatever kind of nature, either in law or in equity, which arise or may hereafter arise from client’s possession and use of Royal Party Decorations and Rental’s equipment.
